It matches each line to your catalog so the same case of tomatoes is recognised as the same item next month, even when the vendor writes it differently. You approve every price change

Nothing updates your food costs behind your back. When a price has moved since the last invoice, Smooth Ops flags it and shows you the old price next to the new one. You approve it, and only then does it flow through to the dishes that use it. That approval step is deliberate: an OCR mistake that silently repriced your whole menu would be far worse than a few seconds of checking.

Every original photo is kept and searchable, so when a vendor disputes a charge or you need to check what you actually paid in March, you are not digging through a shoebox or a shared drive. How accurate is the AI at reading invoices?+

Accurate enough to save the typing, not accurate enough to trust blind, which is why every price change goes to you for approval before it updates anything. Handwritten invoices and faded thermal paper are the hardest cases. You can correct any line, and corrections teach the catalog matching for next time.

Does scanning an invoice automatically cost my menu?+

It updates ingredient prices, which flows through to any dish already built with those ingredients. It does not build the recipes for you. Costing a menu item is still a deliberate step where you say what goes into a dish and how much, and that lives in the Food Cost module.

What happens with vendors who email PDFs instead of paper?+

Upload the PDF the same way you upload a photo. The reading step is the same.

Can my team upload invoices, or only me?+
